What data do we process?
Depending on your contact, we may process your name, email, phone number, address, booking dates, guest numbers, chosen accommodation and extras, and information you provide in an enquiry or booking.
For company and event bookings, we may also process company names, registration and billing details, and information needed for the event. We also process our communications with you and limited technical information about website use.
Do not provide sensitive personal data unless necessary for us to help you.
Why do we process data?
- To answer enquiries and take steps towards a possible contract.
- To administer bookings, payments, invoicing, accommodation and events.
- To communicate before, during and after your stay and deliver booked services.
- For accounting, security, damage handling, complaints and legal claims.
- For marketing where consent or another valid basis exists.
The legal basis depends on the situation: preparing or performing a contract, legal obligations, legitimate interests or consent. Mentioning processing in a contract does not automatically make it necessary; we only process data needed for each purpose.
Booking and payment
Remjeng Retreat uses Sirvoy for booking management. Data entered in the booking engine is also processed within Sirvoy’s service under its terms and privacy information.
When payment is made, the payment provider used may process necessary personal and transaction data. Remjeng Retreat does not store full card details when payment is handled externally. The provider should be identified during payment.
Who may receive the data?
Remjeng Retreat does not sell personal data. Data may be shared with necessary providers of booking systems, payments, hosting, email, accounting and administration.
When you submit the contact form, data is stored in the website’s protected administration system. An email notification is sent via Resend, which processes the data needed to deliver the message to Remjeng Retreat.
For events, necessary information may be shared with external suppliers to deliver what the customer booked. Data may also be given to authorities when legally required. Suppliers may process only what is necessary for their tasks.
How long is data retained?
Data is retained as long as needed for its purpose. Booking and customer data is kept while relevant to the booking, relationship, security and possible claims. Accounting material is retained as legally required.
Data is deleted or anonymised when no longer needed, unless another legal reason requires retention.
Email, newsletters and marketing
Contact details are used for communication about an enquiry, booking, payment or stay. Newsletters and other electronic marketing are sent only after signup or with another valid basis. You can always unsubscribe.
Photos and film
A guest sharing photos or film voluntarily does not automatically permit marketing use. Material is used in Remjeng Retreat’s channels only with express permission and within its scope.
Your rights
Depending on the processing, you may request access, correction, deletion or restriction, object to certain processing and receive certain data in a portable format. Consent can be withdrawn at any time without affecting earlier lawful processing.
Contact info@remjengretreat.se to exercise your rights. If you believe data is processed incorrectly, you can complain to Swedish Authority for Privacy Protection (IMY).
